Privacy policy
Last updated: 27 October 2026
Mnemory (mnemory.me) is a meeting notetaker. It sends a bot into online meetings to record them, transcribes recordings and uploaded files, and writes notes from them. This policy explains what Mnemory collects, why, who processes it, and how you can remove it.
Mnemory is run by Jakub Bareš, Czech Republic, who is the data controller. Contact: privacy@mnemory.me.
What we collect
- Your Google account basics. When you sign in with Google we receive your name, email address and profile picture (scopes
openid, email, profile). We use them to create your account and show who is signed in. - Your Google Calendar events (read-only). If you grant the
calendar.readonlypermission, Mnemory reads the events on the calendars shown in your Google Calendar: title, time, organiser, attendees and the meeting link. It uses them only to find the online meetings you want recorded, to send the bot to them on time, and to show your upcoming meetings and their participants in the app. Mnemory never creates, changes or deletes calendar events. We keep a refresh token so the calendar can be read while you are not signed in. - Meeting content. Audio, video and screen recordings of meetings the bot joins, plus files and links you upload, with the transcripts, speaker names, notes, action items, translations and answers made from them.
- Email you forward to Mnemory. Meeting invitations you send to your intake address, used to schedule the bot.
- Technical data. API keys you create, webhook addresses, and server logs (IP address, time, request) kept to run and secure the service.
How we use it
Only to provide Mnemory to you: sign-in, scheduling and sending the bot, recording, transcription, notes, search and answers over your own recordings, and keeping the service secure. We do not sell your data, do not use it for advertising, and do not use it to train AI models.
Google user data
Mnemory's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- Google Calendar data is used only to schedule and show your meetings, a feature you can see and control in the app.
- It is not transferred to anyone except as needed to provide that feature, to comply with law, or as part of a merger or acquisition with notice to you.
- It is not used for advertising, is not sold, and is not used to train or improve general AI or machine-learning models.
- No person reads it unless you ask us to for support, it is needed for security or to comply with law.
Who processes it
Mnemory uses these providers to run the service. Each receives only what its task needs.
- Amazon Web Services (Frankfurt, EU): servers, database, file storage, the meeting bots, and inbound email.
- Speech-to-text providers that turn meeting audio into text: Google (Gemini), ElevenLabs, Deepgram, AssemblyAI, OpenAI or Groq, depending on the engine used for a recording.
- Language model providers that write notes, translations and answers from transcripts: Google (Gemini), and where configured Anthropic or OpenAI. Calendar data is not sent to these providers.
- Google, for sign-in and the Calendar API.
Some of these providers process data outside the EU (for example in the United States) under their standard contractual clauses.
People in your meetings
When the bot joins a meeting it appears as a named participant so everyone can see it is recording. You are responsible for telling participants and having a lawful basis to record them where the law requires it. Hosts can remove the bot at any time.
How long we keep it
Recordings, transcripts and notes are kept until you delete them. Calendar events are re-read from Google and are not kept longer than needed to schedule upcoming meetings. When you delete your account, everything belonging to it, including the Google refresh token, is deleted within 30 days, and backups roll over within a further 30 days.
Your choices and rights
- Delete any recording in the app or with
DELETE /v1/recordings/{id}. - Stop following a calendar in the app.
- Remove Mnemory's access to your Google account at any time at myaccount.google.com/permissions.
- Ask for a copy of your data, its correction or its deletion, or delete your account, by writing to privacy@mnemory.me.
Under the GDPR you also have the right to object, to restrict processing, to data portability, and to complain to a supervisory authority (in the Czech Republic: Úřad pro ochranu osobních údajů, uoou.cz). The legal basis is the contract with you for providing the service, and our legitimate interest in keeping it secure.
Security
Data is sent over HTTPS, stored in AWS in the EU, and access is limited to the operator. API keys are stored hashed.
Children
Mnemory is not meant for anyone under 16.
Changes
If this policy changes, the new version is posted here with a new date. Important changes are announced in the app or by email.
